Returns and Refund Policy

The return window, the RMA process, restocking fees and how refunds are issued.

Last updated: October 2026

We want you to be confident when you order from us. If something is wrong, or simply not what you needed, this policy explains what you can return, how long you have, what it costs, and how the refund reaches you. It forms part of our Terms and Conditions.

1. Return window

You may return most products within 30 days of the date of purchase for a refund or exchange, provided the conditions in this policy are met.

The return window runs from the date of purchase, not the date of delivery, so please check the order confirmation if you are close to the deadline. Returns received after the window may be refused or accepted at our discretion with a higher restocking fee.

Please do not send anything back before you have an RMA number from us. Unauthorised returns cannot be matched to an order, may be refused at the warehouse, and can delay your refund.

2. Faulty or damaged products

If a product arrives damaged or develops a fault, that is treated differently from a change of mind return, and restocking fees do not apply.

  • Report transit damage or a dead on arrival fault within 10 days of delivery so we can raise a claim with the carrier while the window is still open
  • Describe the fault clearly, and where possible attach photographs of the damage and of the packaging
  • Keep the original packaging until we confirm the replacement, because carriers and manufacturers may want to inspect it
  • Replacement units are dispatched once the fault is confirmed, and we cover the return shipping for verified faults

If a product develops a fault after 10 days, it is usually covered by the manufacturer warranty rather than this policy. Contact our support team and we will help you raise the warranty claim.

3. How to start a return

Every return follows the same four steps.

  • Contact us at contact@techretailerusa.com with your order number, the item you want to return, and the reason for the return
  • We review the request and issue a Return Merchandise Authorisation number, usually within one business day
  • Write the RMA number clearly on the outside of the parcel and ship it to the address we give you, using a tracked service
  • We inspect the return when it arrives and process your refund or replacement

A return without an RMA number may be refused by the receiving warehouse, and we cannot be responsible for items that arrive without one being traceable to your order.

4. Restocking fees

Change of mind returns are subject to a restocking fee, which reflects the cost of inspecting, testing and repackaging an item before it can be sold again. The fee is a minimum of 20 percent of the item price, and can be higher depending on condition.

  • Sealed and unopened, in original packaging: minimum 20 percent restocking fee
  • Opened but complete and undamaged, with all accessories and manuals: minimum 20 percent, and higher where repackaging is required
  • Items missing parts, accessories, manuals or original packaging: assessed individually, and may be refused
  • Special order and custom configured items: subject to a higher restocking fee because they cannot be resold as stock

Restocking fees are waived where the return is caused by our error, by a verified fault, or by transit damage reported within the timeframe in section 2.

5. Items that cannot be returned

Some categories cannot be returned once they have been supplied, either because they cannot be resold or because of licensing. These include:

  • Software licences, product keys, activation codes and digital downloads
  • Subscriptions, cloud services and any service that has already been provisioned or performed
  • Custom built, custom configured and special order products
  • Opened consumables such as ink, toner, media and cleaning supplies
  • Clearance and end of life stock, which is marked as such on the product page
  • Items that have been installed, registered to a customer, or had their serial number altered

If you are unsure whether something can be returned, ask us before you order and we will confirm it in writing.

6. Condition of returned items

To be accepted, a return must arrive in a resalable condition. That means the product itself is undamaged, and everything that was in the box is still there.

  • Original packaging, including the outer box, inserts and any sealed bags that have not been opened
  • All accessories, cables, power supplies, brackets, manuals, media and documentation
  • Any bundled software, license cards and registration paperwork supplied with the product
  • Proof of purchase, which is normally your order number

Do not write on, tape over or stick labels directly onto a product box. Use an outer shipping box. Damage caused by poor return packaging may be deducted from the refund.

7. Refunds

Once an authorised return has been received and inspected, we issue the refund to the original payment method. Refunds are typically completed within 5 to 10 business days of that inspection, though your bank or card issuer may take a few additional days to post the credit.

  • The refund covers the price paid for the returned item, less any applicable restocking fee
  • Original shipping and handling charges are refunded only where the return is caused by our error or by a verified fault
  • Where an order was paid by purchase order or on account, the refund is issued as a credit against your account rather than as a cash payment
  • Return shipping costs are the Buyer's responsibility for change of mind returns

8. Exchanges and replacements

If you would prefer a replacement or a different product rather than a refund, tell us when you request the RMA number. Where the replacement costs more, we will invoice the difference; where it costs less, we refund the difference. Availability of a replacement depends on stock at the time.

9. Damaged or lost returns

Please use a tracked and insured shipping service for returns. We cannot issue a refund for an item that is lost or damaged on its way back to us before it reaches our warehouse. Keep the tracking number and the carrier receipt until your refund is complete.

10. Cancellations

You can cancel an order at no charge before it has been dispatched. Once an order is in transit, it is treated as a return and the restocking fee in section 4 applies. Special order and custom configured items cannot be cancelled once the order has been placed with the supplier, because production or allocation has already started.
